Annual Meeting Minutes

Oak Hill Gym

Nancy Mass called the meeting to order at 7:10 pm.  All board members were in attendance except for Renee Senter.

Nancy announced that the 2006 Annual Meeting Minutes were available for review. She stated that the last printed edition of the monthly newsletters will be sent out in December.  Because of increase costs and increased technology, the monthly newsletter will be sent electronically starting in January.  Lisa Harpold was applauded for taking on this responsibility beginning in January. Any home-owner, who has not already done so, should go to nottinghamforest.org to register their e-mail address so theyu do not miss any Nottingham news.  This change will save the neighborhood $5000-$6000 a year. This will be the only available newsletter. The 2006 Annual Meeting Minutes were voted on and approved.

Reports from the Board

Fencing and Mailboxes-Darrell Werner

There was in increase in vandalism and accidents involving mailboxes this past summer.  A company truck belonging to Superior Lawn knocked down 4 boxes at Bluejacket and Nieman only days after they had been repaired from another incident. The damage resulted in a repair cost if $335.  Information is still needed about this company; please contact Darrell if you know how to contact Sam's Superior Lawn.  It costs $105 to replace a single mailbox (including labor).  Any information that would help recover some of this would be appreciated.

Landscaping-Susan Aistrup

The 2007 year was both productive and disappointing.  Marilyn Dinkel came on board to handle the lighting and irrigation and Susan continued to handle turf and flower care.  Rosehill was contracted for the year. Unfortunately the person who was originally handling our account left the company soon thereafter and Susan had to start from scratch with a new Project Manager. This resulted in signs of decrease care to the entire area. There were problems with the sprinklers which resulted in dying flowers.  Rosehill was to replace the flowers because they were responsible for maintaining the irrigation system. Susan requested a 10% compensation, this is still under negotiation. The 2007 contract was fulfilled with Rosehill and a 2008 contract has not been signed.  Phase I at Switzer west from 121 to 123 was initiated. The effects of the blight are very apparent and Phase II will start In the next couple of weeks with removal of the Australian Pines.  121st and Nieman entrance was completed with the placement of Spruces and the Cherub Statue.  5 newly planted Boxwoods were stolen from 119th and Niemen. Susan's term is completed.  If anyone is interested in taking over this position they should contact Susan or Nancy to volunteer.

Nancy followed this report with neighborhood statistics and compliments to Susan for her hard work the past 3 years.

Irrigation and Lighting- Marilyn Dinkel

The irrigation and lighting systems are the original systems installed as residential. They both need to be replaced soon to eliminate continuous repairs.  Christmas lights will be done differently this year.  Fresh wreathes will not be used.  Marilyn


reported having an increased understanding of the financial needs of the Nottingham Forest Homeowners Association after serving on the board. Jack Zimmerman added that utility work at the perimeters, especially 119th St. between Grant and Nieman, compromises the sprinkler system, sod and groundwork and we do the best we can to maintain the property and prevent this from occurring. If anyone ever observes a utility truck on the grass, please take the time to call a board member and report it.

Trees-Jon Newcomb

Jon reported he has lived in NF for 24 years and has served on the board for 2 years. He echoes Marilyn on understanding the care that is required for the neighborhood. The neighborhood trees are still recovering for the ice storm. Street trees were all trimmed. There were 800 trees originally placed by the developer as street trees. Our Homeowners Association trims the trees and it is the individual homeowner's responsibility to water and replace these trees.  In September the trees were cleared at the creek and parking lot adjacent to the tennis courts and pool. This was a great improvement and makes the area safer.   The pine trees took a hit this year with disease and weather. Jon has some suggestions that may help save some of the trees.  If you are interested in this information on how to save your pine trees you may contact Jon directly or he will put the information in the next newsletter.

Pool-Sylvia Warner for Renee Senter

Jeff Kelly, Inc. did great job this year managing the pool.  2008 contract is being negotiated. This was the only improvement made this past season and plans for the next season include updating and re-plumbing of the equipment room, painting the interior of the building, resume the furniture rotation that was put on hold for the '07 season, and continue contract services with Jeff Kelly, Inc.

Tennis Courts/Monuments-Jack Zimmerman

Cracks were sealed and lamps replaced at the tennis courts recently. The parking lot was resurfaced for the tennis/pool complex.  Next Spring the windscreens will be replaced at the tennis courts.  Jack appreciates the feedback on the tennis courts from neighbors and homeowners who use the courts. Upcoming needs at the pool and tennis courts include continued crack repair, replacement of railroad ties at the tennis court and creek and replacement of the bridges leading to both areas as well as replacement of the fencing on the bridges.

The planning for replacement of the monuments has begun. The surveys and easements have been done and Jack is working with the City for approval of placement of the monuments. The design was finalized and the designs were posted for review.  He hopes to get started with construction in the next few weeks, pending receiving the permits.  Estimated time to complete this project is 5-6 years and the electrical and irrigation will be done at the same time as the monuments pending an increasing in dues at this meeting.  Ken reported about problems with the backflow valves and the close loop system with the sprinklers that needs to be separated. The coach-lights will be removed from the existing monuments and will be stored for future use, possibly at the pool.

Financials-Ken Menendez

Ken reminded everyone that the increase in dues for 2006 was for the monuments only. The financial report is attached and shows an overage on the budget for 2008 of appx. $75 per household. A motion was made to increase the dues $100 and seconded. The floor was opened for discussion. The increase would be effective this


year with statements going out this month.  Some homeowners expressed interest in have the increase over a period of time, others inquired about earmarking part of the increase for fencing. The motion was voted on and approved by a majority to increase the dues by $100/year starting with dues collected for 2007.

New business-Nancy Hass

There are currently 2 positions open on the board.   Nominations were made and

seconded. Two new members were elected to the board.

Steve Parker will take over the position of Landscaping and Louise Barnow was

elected as Secretary.  Marilyn Dinkel was elected to continue with Irrigation and

Lighting.

Any lawn complaints should be taken to the Mitch Bennett with the City of Overland

Park. All boats, trailers and RVs need to be in an enclosed garage.

An invitation was extended to the NF Board to attend a Central Overland Park

Homeowners Association Forum meeting.  Bill Barnow accepted the invitation and

will attend the meeting to represent Nottingham Forest HOA and report back to the

board.

Nancy requested that homeowners access their personal property for dead trees and shrubs and take responsibility of removal as needed to maintain the beauty and integrity of the neighborhood.

Homeowner inquired about the potential development at 119th & Switzer and apparently the developer has withdrawn the request from the city.

There was a motion and a 2nd to adjourn. The meeting was adjourned at 8:48.
